Role Overview:

The Finance Assistant plays a crucial role in supporting the finance department by assisting in the preparation of annual budgets, maintaining financial records, and ensuring compliance with financial procedures. This position requires accuracy, efficiency, and a keen eye for detail in managing financial transactions.

Key Responsibilities:
  • Verify that all payments are backed by valid, complete, and authorized documentation.
  • Process working/program advances and disburse payments in line with CASFOD’s financial policies and budget approvals.
  • Stamp all paid documents with ‘CASFOD Paid’ for proper record-keeping.
  • Accurately categorize expenses using the appropriate codes and ensure timely settlement of project advances before requesting new disbursements.
  • Deduct government withholding taxes on service payments, including hotels and resource persons.
  • Assist the finance officer with document scanning, filing, and report management.
  • Ensure all transactions are backed by pre-numbered receipts and vouchers.
  • Safeguard cash, cheques, and payment vouchers in a secure environment.
  • Maintain the petty cash fund, prepare reconciliation reports, and ensure timely replenishment upon review and approval.
  • Conduct weekly and monthly cash counts and submit reports for approval.
  • Regularly reconcile cash accounts with financial records and update the cash book accordingly.
  • Perform additional finance-related tasks as needed.

Qualifications & Experience:
Education: First Degree or Diploma in Accounting, Business Administration, Banking, or a related field.
Experience: At least two years of experience in financial disbursement, preferably in an NGO setting, with knowledge of project funding and compliance requirements.

Skills & Requirements:
Willingness to work flexible hours and travel extensively for field assignments.
Strong understanding of project implementation processes.
Excellent interpersonal and communication skills.
Proficiency in written and spoken English, with knowledge of business finance terminology.
Competency in MS Excel and MS Word.
Ability to travel as required.
